Tenants call our line, mention the landlord account and the technician is dispatched. We copy the landlord on the diagnostic report, the written quote and the invoice; the tenant is not asked to approve work above the diagnostic. Standard turnaround is same-day in Manhattan during business hours, next-day in Brooklyn and Queens.
We record every unit by apartment: brand, model, sleeve size, service history.
Annual maintenance is done floor by floor to minimise access disruption.
Each unit gets a next-service and end-of-life estimate so replacement is planned, not reactive.
When a chassis is beyond repair we quote a drop-in replacement in the same sleeve where possible.
Empty-unit visits are a lower-friction way to fix accumulated issues: full clean, drain flush, filter, capacitor check and any deferred repair. A written condition report gives you a defensible position on the security deposit if the incoming tenant reports issues later.
Landlord accounts are billed net-15 by default after the first paid job. Multi-property accounts get a single monthly summary in addition to individual invoices. We do not add a landlord markup; the rates are the same as our published residential and PTAC pricing.

PTAC maintenance in a landlord fleet runs $180 to $420 per unit depending on sleeve access and unit condition, usually done in batches. Chassis swaps are quoted separately after the inspection visit.
The landlord contact by default. Where the tenant is authorised to approve up to a stated limit we follow that; otherwise the technician calls the landlord contact from the door with the quote.

No. Our service area is Manhattan, Brooklyn and Queens only. The Bronx and Staten Island are outside our current coverage and we say so upfront rather than after taking a landlord onboarded.
